Major Areas of Responsibility:

  • Management of Reception, greeting visitors & clients, and responding to incoming calls & email enquiries
  • General administration tasks that will ensure the smooth running of the office and business operations, includes maintenance of coffee machines & supplies, organising catering for meetings & events, ordering weekly groceries & stationery as required.
  • Assist with coordination of staff events including Lunch & Learns, activities as part of the Global Community Program and company marketing events
  • Manage incoming invoices from vendors and ensure prompt payment either through accounts payable or by company credit card
  • Credit card expense reporting using Certify
  • Liaise with travel agents regarding staff travel bookings, often complex, including related items such as travel visas, vaccinations & travel medicals
  • Supervision of meeting room bookings in Outlook, & ensuring rooms are kept neat and tidy
  • Incoming and outgoing mail including collection and drop off through Post Office
  • Organise shipments via couriers both domestic & internationally
  • Management of building maintenance which includes liaising with Building Facilities Manager, office cleaners, A/C technicians and other service contractors as and when required
  • Management of the office parking bays and distribution of building access cards
  • Maintenance of fire safety equipment, organising regular warden training and maintaining safety procedures and compliance documentation
  • Monthly site visits to the two warehouse units in Welshpool, includes management of their office & kitchen supplies, building maintenance, and safety equipment ensuring all areas are compliant
  • Document control of office documentation, registers, office procedures & policies
  • Onboarding of new starters includes providing office inductions & documentation, ordering of business cards, company apparel and PPE if required
  • Provide high level Executive support to C-Suite including calendar management, travel bookings, setting up meetings & workshops, expense reporting and other administrative support as required
  • Other ad hoc administrative duties, assisting all departments as required from time to time


Knowledge & Experience Required:


  • Minimum of 5 years' experience in a Senior Administration / Office Management role or similar
  • Previous experience in an EA / PA role (desirable)
  • Previous experience with domestic & international travel booking (highly desirable)
  • Experienced using Certify or other similar expense reporting platforms (desirable)

Critical Knowledge, Skills and Abilities

  • Strong interpersonal skills
  • Intermediate to Advanced skills using full Microsoft Office suite including MS Teams
  • A professional approach combined with a flexible, positive 'can do' attitude
  • Ability to set and meet deadlines and work under pressure
  • Strong verbal and written communication skills
  • Willingness and ability to work in a team environment or work independently as required
